Supersoils.com Inc., operating as Super Soils ("we", "us"), operates supersoils.com (the "Site"). This policy explains what personal information we collect, why we collect it, who we share it with, and the choices you have. We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy law.
1. What we collect
- Identity and contact details — your name, email address and phone number when you create an account, request a quote, place an order, or contact us. Company accounts may include your business name and the names of team members the account owner adds.
- Delivery addresses and locations — the addresses you enter (including map coordinates selected through the address search) so we can price, schedule and complete deliveries. Delivery instructions you provide (gate codes, placement notes, contact names) are stored with the delivery.
- Order, quote and account history — the products, quantities, prices, delivery dates, invoices and receipts connected to your account or email address.
- Payment information — payments are processed by our payment processor (Stripe). We receive confirmation of payment and limited card details (such as brand and last four digits); we do not store your full card number.
- Communications — emails, messages and phone-call notes exchanged with our team, and reviews or testimonials you choose to submit.
- Site usage — our own server logs and analytics record pages visited, referring pages, browser and device type, IP address and approximate region, and the marketing source that brought you to the Site. We also use Google Analytics (see Cookies below).
2. Why we collect it
- To price products and delivery for your address, take payment, schedule and complete deliveries, and provide receipts and order history.
- To communicate about your quotes, orders and deliveries — confirmations, schedule changes, payment requests and receipts, and post-delivery review invitations.
- To operate customer, contractor and supplier accounts and verify who may act on them.
- To improve the Site, our product range and our delivery coverage (analytics and aggregate reporting).
- To meet legal obligations, including tax and accounting record-keeping.
Some customer inquiries are triaged with the help of automated (AI) tools to route and draft responses; our staff review these before decisions that affect you are made.
3. Who we share it with
- Delivery partners — deliveries are performed by our network of supplier and hauling partners. We share what the driver needs to complete your delivery: your name, delivery address, phone number and delivery instructions.
- Service providers — payment processing (Stripe), mapping and address search (Google Maps Platform), website analytics (Google Analytics), content delivery and security (Cloudflare), email delivery, and cloud hosting. These providers process personal information on our behalf under their own safeguards, and some are located outside Canada (notably in the United States) — while in another jurisdiction, information is subject to that jurisdiction's laws.
- Legal and safety — where required by law, or to protect our rights, our customers or the public.
We do not sell personal information.
4. Reviews and testimonials
If you submit a review, we publish it with the name and city you provide, with your consent, on the Site (for example on product pages and our testimonials page). Contact us to have a published review removed.
5. Cookies and analytics
The Site uses cookies that are necessary for it to function — keeping you signed in, remembering your cart and delivery address. We also use Google Analytics cookies to understand how the Site is used; you can block or delete cookies in your browser (the shopping features that depend on the session cookie may stop working). Our own first-party traffic log records visits server-side as described in section 1.
6. Marketing communications
We send marketing email only in accordance with Canada's Anti-Spam Legislation (CASL) — on the basis of your consent or an existing business relationship. Every marketing message includes a way to unsubscribe; unsubscribing does not affect transactional messages about your orders and deliveries.
7. How long we keep information
We keep personal information for as long as needed for the purposes above: account information for the life of the account, and transaction records (orders, invoices, payments) for the retention periods required by Canadian tax law. Server logs and analytics are kept on a shorter, rolling basis.
8. Safeguards
We protect personal information with technical and organizational measures appropriate to its sensitivity, including encrypted connections (HTTPS), hashed passwords, access controls on our admin systems, and payment handling delegated to a PCI-DSS-compliant processor.
9. Your choices and rights
- You can access and update your account information at any time from your account pages.
- You may request access to, correction of, or deletion of your personal information by contacting us. We will respond within the timelines PIPEDA requires; note that we must retain transaction records required by law even after an account is closed.
- You may withdraw consent to marketing at any time (section 6).
If you are not satisfied with our response to a privacy concern, you may contact the Office of the Privacy Commissioner of Canada (priv.gc.ca).
10. Children
The Site sells bulk landscaping products and is not directed at children; we do not knowingly collect personal information from anyone under 16.
11. Changes to this policy
We may update this policy from time to time; material changes will be indicated by the "Last updated" date above and, where appropriate, notice on the Site.
